Meeting Room Rentals

Meeting rooms are available for public use in some library branches. Not all library facilities have separate meeting rooms. Please check with your local library branch to see whether a library meeting room can be booked in your community.

Where meeting rooms are available, their use is governed by Library Board policy. Key points of the policy are listed below.

Public Use of Library Meeting Rooms

Public use of Library meeting rooms is intended for gatherings of a civic, cultural or educational nature. Use of a meeting room does not imply the Library's endorsement of the beliefs of the group using the room.

Meeting Room Use and Bookings

  • Library sponsored activities are given priority in scheduling use of the meeting rooms.
  • All organizations or individuals using Library meeting rooms must clearly specify their own names in advertisements of meetings or events held in premises administered by the Library.
  • Meeting rooms are normally only available during library hours (please check with your local branch).
  • Friends of the Library groups are not charged for the use of Library meeting rooms.
  • Booking applications are considered on a first-come, first served basis.
  • Generally, meeting rooms are booked at least 24 hours in advance of, and not more than 90 days prior to, the date required. Meeting rooms may be reserved for regularly held meetings on a four-month seasonal basis (i.e., September -- December, January -- April, May -- August).
  • The booking party is responsible for setting up, tidying and cleaning the meeting room.
  • Groups using the meeting rooms are held responsible for any damage to the room or its contents.
  • Storage facilities are not provided for any organization.
  • Please contact your local branch to inquire about the use of other equipment, such as projectors, screens, podiums, etc.
  • All organizations or individuals must read and complete the meeting room application form, available in your local branch. The application must be signed by one person from the group who will be responsible for complying with the Library's Meeting Rooms Policy.
  • A user fee, based on other meeting room user fees in the local community, is charged. Please enquire about user fees at your local branch.
